Connect
- Open Integrations (under More, or from your profile menu) and choose QuickBooks.
- Click Connect to QuickBooks Online, sign in and allow access.
One connection covers your whole team. If it needs signing in again, the status shows Reconnect needed. Click Reconnect.
Send invoices
- On an invoice, click Sync to QB. A QB Synced badge shows once it's there.
- Turn on Auto-sync invoices on the Connection tab to send invoices when you send them, record a payment or edit them.
- To send older invoices, click Push to QuickBooks under Sync invoices to QuickBooks. It sends 25 at a time, so click again for more.
- Voiding an invoice from its page voids it in QuickBooks too.
Payments on synced invoices go across too, and payments you record in QuickBooks come back into Wrapstart. Draft, voided and cancelled invoices are never sent.
Quotes
To send a quote to QuickBooks as an estimate, open More actions on the quote and choose Sync to QuickBooks. Draft quotes can't be sent.
Mappings and tax
On the Mappings tab, match your services and materials to QuickBooks items and income accounts. Match by name does most of it for you. Under Tax Code Mapping, pick your Default Tax and Non-taxable codes. Click Save Mappings. Lines you don't map go to general "Services", "Materials" or "Labor" items.
Import from QuickBooks
On the Import tab, click Fetch Customers from QuickBooks or Fetch Products from QuickBooks to bring them into Wrapstart.
Check what synced
The Sync Log tab lists every sync. Click Retry on a failed invoice to try again.
Expenses don't sync to QuickBooks. Use Export for accounting (CSV) on the Expenses page instead. QuickBooks Desktop isn't supported.
