Inventory keeps count of the film, supplies and tools you use, so you don't run out at the wrong moment. Open it from the sidebar. The tabs are Items, Products, Suppliers, Usage and Film Catalog.
Add an item
- On the Items tab, click Add Item.
- Under Basic Information, enter the Item Name and pick a Category. Add the SKU, Brand and Storage Location if you like. Film categories also ask for the finish, colour and width.
- Under Stock Information, enter the Quantity, Unit of Measure and Cost per Unit, and a Reorder Point.
- Leave Deduct stock when used on jobs on for things that get used up, like film. Turn it off for things you reuse, like tools.
- For a roll, fill in Roll Dimensions & Weight: width, full length, full weight and the empty core weight.
- Save.
When an item reaches its Reorder Point, it is marked Low Stock on the list, in the item's panel and on the Low Stock widget on Home. Use the Stock level filter to see everything that's low or out.
Track rolls by serial number
- Open a film item and go to its Rolls tab.
- Click Add roll, enter the Serial number, the date Received and the Length (ft), and click Add roll. The form stays open for the next one; click Done when finished.
Each roll shows In Stock, In Use or Used Up, the jobs it was used on, and any warranty it backs. To guess what's left on a roll, open the item and use Estimate remaining by weight: weigh the roll, enter the weight and click Set to.
Materials on jobs
Open a job and go to its Materials tab. It starts with the materials from the quote or invoice, or the service's default materials. Add more with From inventory or Custom material, enter how much was Used, and use Pick roll serial to say which roll it came from.
Stock comes off when the job is marked complete: the amount used, or the planned amount if nothing was entered. Materials added after that come off straight away, and removing one puts it back.
Set default materials on each service in Services, under Materials & Labor, so every job starts with the right list.
Adjust stock by hand
Open an item's menu and choose Adjust Stock. Pick the Adjustment Type (Stock Added (Received), Stock Used (for Job), Damaged/Waste or Manual Adjustment), the Quantity and an optional Reason.
