Change its settings
On the AI Receptionist page, click the gear (Receptionist settings). It has two tabs, and Save settings saves both.
- Incoming: Answer calls sets when it answers: Off, After hours, Overflow (when nobody picks up) or Always. Below that are its voice and greeting, What it may do (appointments, what to capture, transfers, urgent words, messages, texting the caller), and Quotes and recaps: Can send callers a written quote (needs the Lead Agent on), Text the caller a recap after the call and Send the full call recap to.
- Outgoing: Can place calls, Allow calls outside business hours, the Voicemail it leaves when nobody answers and Tries per day.
To turn it off, set Answer calls to Off and click Save settings. Calls then ring through as normal. Click Guided setup to go through the setup steps again.
Its calls
- The page has Dashboard, Incoming calls, Outgoing calls and Training tabs, and shows the AI voice minutes used this month.
- Open a call to hear it, read the transcript and see What the receptionist did and the Next step. Its calls also show in the customer's or lead's conversation.
- On Outgoing calls, click New AI call to have it call a lead or customer from your number.
- The AI Receptionist Call Completed automation trigger lets you act after each call.
Teach it
- Open a call. Under What to coach, it lists any moment where it broke a rule or could have done better. Click Review this call if it hasn't been reviewed yet.
- Click Teach next to a moment, or next to any line of the transcript.
- Say what it should have done, choose the topic, and save. It becomes a rule for every call.
All its phone rules are on the Training tab under Phone rules. Click Add a rule to write one yourself, then Save rule. You can reword or delete any rule there. Calls worth a look lists calls to review.
On your phone, open a call the AI Receptionist answered. Its coaching moments are at the top, each with a link to teach it.
