The Dealer Portal

Work with dealerships, fleets or partner programs? The Dealer Portal lets you run those accounts from one place. You set each dealer's prices once and Wrapstart uses them everywhere, and your dealers get a portal of their own to see their prices, approve work, request jobs and pay.

Where to find it

Open More → Portals → Dealer Portal on the web, or More → Dealer Portal in the phone app. It has five tabs: Dealers, Price lists, Bundles, Requests and Settings.

Plan

The Dealer Portal is included free with the Dominator plan.

Add a dealer in one step

  1. On the Dealers tab, click Add dealer.
  2. Fill in the dealership's name, the person you deal with, and their email and phone.
  3. Wrapstart creates the customer and the dealer account together, and makes quotes, invoices and statements out to the dealership's name. If the name or email matches a customer you already have, Wrapstart offers to use that customer instead.

Each account is a dealer or a partner. It has a price list, a portal sign-in email and a way of paying: each invoice as it comes, or a monthly statement. You can pause an account at any time.

Price lists

Set a dealer's prices once, and their quotes and invoices fill in at those prices.

  • Fixed price or percentage off. Price a whole service, one option (like Full Front PPF) or one vehicle size. You can also set a default percentage off for everything on the list.
  • One list for a tier, or one per dealer. Put several dealers on a "Gold dealers" list, or give a dealer a list of their own.
  • Prices by make, model and year. Open Model prices on a list and add a make such as GMC. Its models come in from the vehicle catalog. Fill the grid with a price or a percentage off for each model, and use Split by years when the price changes with the generation (2019–2023, 2024+). An Any other GMC row covers models you haven't added. Leave a cell blank and it falls back to the list's usual price.
  • Only the services you choose. A service that isn't on the dealer's list stays at your normal price, and the line says so.

Bundles

Sell several services together at one price, like "New car protection: full front PPF, ceramic coating and window tint". Build one on the Bundles tab, give dealers their own bundle price on their price list, and add it to a quote or invoice with Add Bundle. Customers see one priced line with each service listed under it.

Dealer prices everywhere you price work

Once a dealer has a list, their price is used wherever Wrapstart prices work for them, at the model price for their car when the list has one.

  • Quotes, invoices, bookings, proposals and Quick Book, on the web and on the phone. The note under each line shows where the price came from, for example "Dealer price · GMC Sierra 1500, 2024+ · retail $1,800.00".
  • Changing the car moves the lines still at the old car's price. A price you typed yourself always stays.
  • Switching a document to a dealer. If you change the customer to a dealer after adding services, each line offers Use dealer price, and Use dealer prices above the lines switches them all at once.
  • Phone invoices pick their car, starting on the customer's main vehicle, so model prices apply there too.
  • Your AI quotes dealer prices too. That covers quotes and proposals the assistant and the Lead Agent write, and the prices the Lead Agent and the AI Receptionist give a dealer in conversation. It also covers proposal templates sent to a dealer by the agent, an automation or the phone, and the estimated value on a dealer's lead.
Good to know

Sent documents don't change. Editing a price list never changes a quote or invoice you've already sent.

The Dealer Portal page

  • Every dealer and partner in one list, with their price list, how they pay, what they owe (overdue in red) and how many quotes are waiting on them. Search it, or filter to dealers, partners, statement dealers or paused accounts.
  • A page for each dealer shows what they owe, their settings, statements, invoices, quotes and proposals. New quote, New proposal and New invoice start a document already addressed to them and priced from their list.

Monthly statements

Set a dealer to Monthly statement, pick the day of the month and their terms (Due on receipt up to Net 60). On that day, Wrapstart emails them a statement with every invoice, payment and refund for the month, what's still open, the balance due and a PDF copy. You can also build, preview, send or resend a statement from the dealer's page at any time.

Your dealers' own portal

Switch it on in the Settings tab and pick a link name. Your portal lives at app.wrapstart.com/dealer/ followed by that name. Choose which pages dealers see and which things they can do, and add a welcome message if you like.

Dealers sign in with their email, with no password. They only ever see their own work at their own prices, never your retail prices.

PageWhat dealers see and do
HomeQuotes and proposals waiting for their approval, their cars in your shop, invoices due and their balance.
Your pricesEverything on their price list, including their prices by model, such as GMC prices by model.
Quotes and proposalsEverything you've sent them, ready to approve, sign and pay a deposit on.
VehiclesEvery job for them, searchable by VIN, vehicle or driver, with status, dates and your inspection photos.
Request workThey pick the car from the vehicle catalog, choose services and bundles at their prices (model prices included), and suggest a date. You get a push, and Confirm or Decline it from the Requests tab or your phone. Confirming opens a lead with the whole request on it, and the dealer gets an email either way.
MessagesWhat they write lands on their conversation in your Message Centre. Answer from the Dealer portal tab under the conversation.
BillingTheir invoices and statements. They can pay several invoices, or a whole statement, in one card payment, and each invoice is still marked paid on its own. Statement emails carry a Pay online button.

From a dealer's page, Send portal link emails or texts them a sign-in link, and View as dealer shows you exactly what they see. The Settings tab also gives you a sign-in box to paste on your own website.

Partner programs

If you run a program like XPEL Tesla, add the company that pays you as a Partner. Its page lists every buyer on the program with their car, package, reference and job status (Not booked, Booked, Ready to invoice, Invoiced or Paid), with totals for each. Invoice ready jobs raises one invoice for many finished jobs, and nothing is ever billed twice. The partner sees the same jobs on a Program page in their portal, without your customers' contact details.

Dealer projects text the car's owner

When a dealership sends you a customer's car, set up a project on the dealer's profile and pick the car's owner under Work is for. Booking confirmations, reminders and review requests go to the car's owner, and quotes, invoices and payments stay with the dealer.

On your phone

Open More → Dealer Portal to see who owes what, open a dealer's page and answer work requests from the notification. Quotes, invoices and proposals you start for a dealer on the phone are priced from their list, by model when their list has model prices.

FAQ

Can a dealer see my retail prices?

No. Dealers only ever see their own work at their own prices.

I changed a price list. Will my open quotes update?

No. Documents you've already sent keep their prices. New documents use the new list.

A dealer's price list doesn't cover a service. What happens?

That line uses your normal price, and the note under it says so.

Can a dealer pay a whole month at once?

Yes. From Billing in their portal, or the Pay online button on their statement email, they can pay several invoices or a whole statement in one card payment. Each invoice is still marked paid on its own.

Who gets the booking reminders when a dealer sends in a customer's car?

Set up a project on the dealer's profile and pick the car's owner under Work is for. Reminders and review requests go to the owner; quotes, invoices and payments stay with the dealer.
