Quote statuses
- Draft: saved but not sent.
- Sent: sent to the customer.
- Awaiting Approval: the customer has opened it.
- Accepted: the customer accepted, by signing, paying the full deposit, or having an offer accepted.
- Updated: you changed the work after they accepted, so they need to accept again.
- Invoiced: turned into an invoice.
- Declined: the customer declined it.
- Expired: you marked it expired.
When a quote runs out
After the valid-until date, the customer sees a Quote Expired page instead of the quote, and the list shows the date in red. The status only changes when you mark it. Open the quote and choose Expire Quote, pick a Reason such as Ghosted or Pricing, and for a lead tick Also mark as Lost if you like. Re-open Quote brings it back.
Follow up automatically
Follow-ups are automations. This one texts a customer three days after they open a quote, if they haven't accepted it:
- Open Automations, click New Automation, then Start from scratch.
- Choose the trigger Quote Opened by Customer.
- Click Add Action and add Wait / Delay set to 3 days.
- Add If / Then / Else with the check Quote not accepted yet. On the Yes side, add Send SMS or Send Email. Put {{quote_link}} in the message so they can open the quote again.
- Save and click Activate.
Other quote triggers you can use include New Quote Created, Quote Status Changed, Quote Revised and Date Reached.
