Quotes and proposals

Create and send a proposal with options

A proposal is a menu the customer picks from. You set up groups, such as Exterior Protection, and each group holds options to choose between, such as three film tiers. Open Proposals from the menu.

Create a proposal

  1. Click New Proposal and pick Blank proposal, a template under From template, or Build with AI.
  2. Under Proposal details, fill in the Title, pick the Customer / Lead and their Vehicle, and check the Tax rate, Proposal date and Valid for (days). Write an Introduction, or click AI Generate to have one written.
  3. Under Solutions, click Add solution group. Name the group and set Customers choose to One option or Any number. Turn off Customer must pick one to let them skip the group.
  4. Click Add solution, add a service or a custom service, then give the option a name, an optional Badge such as Most Popular, a description and photos. Click Mark recommended on the option you'd pick.
  5. Under Deposit & scheduling, turn on Require a deposit at approval and set the Deposit type and Amount. You can also let the customer request a drop-off day.
  6. Add Notes and Terms. Under Terms, choose Documents to attach your agreement files.
  7. Click Create proposal.

With two or more options in a group, a comparison table is built for the customer. Click Customize to change its rows.

Send it

  1. Click Send on the proposal.
  2. Under Send by, pick Email, Text or Both, and add a Personal note (optional).
  3. Click Send proposal. Or turn on Send later, pick the date and time, and click Schedule.

What the customer does

They open the link, choose an option in each group, review their selections and total, sign, and approve. If you asked for a deposit, they pay it in the next step. Approving creates an accepted quote for the chosen options, ready to book and invoice. They can also Decline this proposal.

Statuses

Draft, Sent, Awaiting Approval (opened), Action Required (you changed it after sending), Approved, Declined and Expired. After approval you may also see Pending Deposit or Ready to Book. Proposals expire by themselves after their valid-for date.

Other actions

The proposal's menu has Edit proposal, Open customer view, Activity, Copy customer link, Duplicate, Save as template, Schedule booking, Mark as expired and Delete proposal.

Good to know

Changing a proposal after sending asks for a Reason for change and moves it to Action Required. Re-send it for the customer to sign off again. Once a proposal is invoiced it's locked: use Duplicate to propose new work.
