Set a follow-up date
- Open the lead. Beside the name, the next step reads No next step when nothing is planned.
- Click Set follow-up and pick a date.
- When it's done, click Mark done. Use Reschedule to move it, or Clear to remove it.
A follow-up that has passed shows as Overdue.
Schedule a call, email or appointment
- Open the lead's Activity tab and click Schedule an activity.
- Choose a Type: Appointment, Call, Email or Follow up. Call is picked to start with.
- Enter a Title and, if you like, a Description.
- Pick the Date and Start time.
- Turn on Add to calendar to put it on your calendar, then set the End time. Appointments go on the calendar by themselves.
- Click Add activity.
When it's done, click Mark Complete on the activity in the timeline.
Add a note
Type in the note box on Activity, or under Notes on Overview, and click Add note. Only your team sees notes.
Read the timeline
The Timeline on Activity lists messages, calls, notes, AI notes, activities and system events in order. Use the filters at the top to show one kind. Beside it, Stage history shows each move through your pipeline and who made it, along with the Lead Agent's work and any automations.
Setting a follow-up date, or scheduling a Follow up activity, moves the lead to the Needs Follow-Up column. Marking it done doesn't move the lead back, so move it on yourself. The Needs follow-up pill on the List view is different: it shows new leads nobody has contacted yet.
To follow up automatically, create an automation with the No Activity For X Days trigger, for example to text a lead that has been quiet for a week.
