Create an invoice
- Open Invoices and click New Invoice, or click + in the header and choose New Invoice.
- From a customer's profile, a customer's row on the Customers page, or a conversation in the Message Centre, choose New Invoice.
- From a quote, click Convert to Invoice on the quote. Wrapstart creates a draft invoice with the same items and opens it. Any deposit already paid on the quote comes across as a payment.
Fill it in
- Check the Invoice Number, Invoice Date and Due Date. The due date comes from your default payment terms.
- Pick the Customer and their vehicle, and add a Service Date if you like. Subject (optional) is shown on the invoice; it uses the vehicle when left blank.
- Under Invoice Items, click Add Service to add your services, Add Custom Item for anything else, or Add Product for products you sell. Each line has a Discount column.
- Add your Terms & Conditions and any Notes (visible to customer).
- On the right, turn on Apply Discount Group to discount every line, and choose what Tax applies to.
- Open Invoice Options to add Internal Notes (not on invoice).
- Click Create Invoice. It's saved as a Draft.
Send it
- On the invoice, click Send.
- Choose Email, SMS or Both, and check the address and number.
- Add a Custom Message (optional). Leave Include Payment Link on so the customer can pay by card.
- Click Send Invoice. The invoice moves to Sent.
Other ways to share it: Share Link copies the payment link, and Mark Sent marks it sent if you gave it to the customer another way. Once it's paid, the button reads Send Copy.
What the customer sees
- The invoice with your items, totals, payments so far and Balance Due, plus your terms and notes.
- A Pay Now button. They can pay the full balance or part of it, and add a tip if you accept tips.
- Any files you chose to share with them.
- Print / Save PDF to keep a copy.
Other actions
The More actions menu on an invoice has Edit Invoice, Clone Invoice (a new draft with the same items), Schedule Booking, Attachments, Void Invoice and Delete Invoice. Deleting an invoice also deletes its recorded payments.
To get a signature on an invoice, open the row menu on the Invoices page and choose Collect Signature.
