Call recording and transcripts

Go to Settings → SMS / Voice Calls. Under Primary settings, find Call Handling.

  • Record Calls: keep a recording of each call.
  • Transcribe Calls: write out each recorded call. It needs Record Calls on, and is part of some plans.
  • Recording Notice: every recorded call opens with this notice. Callers hear it before your phone rings; customers you call hear it when they answer. Pick the Language (English, French or Spanish) and change the Wording if you like. It can't be turned off while Record Calls is on.
  • Recording Retention: choose how long to Keep recordings and transcripts for, from 30 days to 10 years (1 year to start). Older audio and transcripts are deleted each night; the call stays in the log.
  • Add Customer Calls to the Pipeline: when an existing customer calls, also open a lead card for the call. This one saves straight away.

Click Save SMS Settings for the rest.

Find a recording

Open the call in the customer's conversation or on the Calls tab. Play the recording, click Generate transcript to write it out, or Extract actions to pull out follow-ups. AI Receptionist calls also have a Summary.

Good to know

Deleting a customer or lead deletes their recordings and transcripts too. RingCentral plays its own announcement and keeps its own copy of recordings.
